FAQ - Transaction Request Intake System (TRIS)


General Questions

Q: Is there a cost to the agency for each user login?

A: No, there is no cost to the agency for each user login.

Q: Will there be a way to view the JE once it is posted?

A: Yes, you can view the Journal Entry (JE) on MobiusView or SCOProd. Additionally, you will receive a notification once SARD has approved the Transaction Request (TR). After approval, the batch will interface with legacy systems overnight.

Q: Can the TRIS be used for a TC-50?

A: No, TRIS cannot be used for a TC-50 (Claim Schedule). A TC-50 is a manual Claim Schedule that must be submitted to Audits to follow the applicable review workflow.

Q: Is there a "Help" feature for the field entry options?

A: The procedure for field entry is detailed enough to provide sufficient guidance. If further assistance is needed, please reach out during the testing period for additional support.

Q: As a staff member, do you have the option to choose which supervisor the request gets sent to?

A: Currently, there is no option to select a specific supervisor. Requests are sent to all Staff Supervisors and the Supervisor. We are working with our IT Team to explore the possibility of allowing staff to select specific approvers.

Q: Will there be an option to upload a batch for multiple line items? Right now, we have a macro that creates the entry for our TR, and entering each item line by line is inefficient for staff.

A: Yes, an upload file option is available for batching multiple line items.


Roles and Access

Q: How do I request roles for the system?

A: Please email us for the roles form at: SARDFISTSupport@sco.ca.gov.

Roles for the system:

  • NAME_Staff: Preparer of Transaction Request
  • NAME_StaffSupry: Preparer, Reviewer, and Approver of Transaction Request. Note: Cannot approve if changes are made to the TR.
  • NAME_Supry: Approver of Transaction Request.

Submission Guidelines

Q: What is the deadline for submitting Transaction Requests?

A: TRs must be submitted before 4 PM for SARD approval. SARD will review TRs within 2 business days.

Q: What should I do if I have an urgent request?

A: Please submit your TR through the TRIS and email SARD at FiscalAccounting@sco.ca.gov for urgent matters.


Data Status & Workflow

Q: What are the different document statuses for Transaction Requests?

A: Here are the different TR document statuses you may encounter:

  • SAVED – The transaction is saved with the staff.
  • PUSHBK – Transaction pushed back to staff for corrections.
  • REVIEW – In review with the agency supervisor.
  • SUBMIT – In review with SARD.
  • RTRND – Transaction returned to the agency by SARD.
  • RCLLD – SARD recalled the approved transaction.
  • APPRV – SARD approved the transaction for processing.
